Rental Scheduling:

 

The following screen will be used when adding a new rental:

 

 

Editing:

·        Either customers or coaches may rent all or part of a facility.  Note they cannot both be attached to the same rental.  So you must select someone from one of the two lists.  The coach or customer must exist prior to adding the rental.  If they do not exist, use either the “Coaches/Clients” or “Player/Customer” buttons to add the appropriate data.

·        On a rental “add” the system will automatically select the time, place and sub-locations you selected on the Main Menu.  If you did not select a time or facility then none will appear here.  You can then select manually

·        Optionally you may add an Instructor to the rental. 

·        Click the Calculate Fee and the system will calculate the retail fee based on pre-determined rates for the selected facility sub-locations. 

·        Discounts can be entered as either dollars or as percents of the retail fee.  For example: to give a 10 percent discount enter 10% in the discount box.  Totals will be re-calculated when the record is saved.  You can force an immediate re-calculation by clicking on the “Calculate Fee” button.

·        The Attended status will default to N/A.  However, every rental should get a final status which designates whether the customer attended or canceled.  The attended status is critical to the system when determining whether an Instructor or Facility is available.  Below are the statuses and their effects:

 

·                    N/A – Initial status at time of add.  The status should remain this until the time of the rental or cancellation.  Rental will display on Main Menu.

·                    Attended – Customer showed up and took the rental.  Rental will display on Main Menu.

·                    Canceled – Customer called and canceled and will not be charged for the rental.  Rentals with this status will not show up on the Main Menu screen.

·                    Late Cancel - Customer called and canceled less than 24 hours before rental and will be charged for the rental.  Rentals with this status will not show up on the Main Menu screen.

·                    No Show – Customer did not show up and did not call and cancel.  Customer will be charged for the rental.  System administrator will decide in the system options whether these events will display on the Main Menu.

·                    Facility Cancel – Rental was canceled at the request of the facility.  Customer will not be charged.  Rentals with this status will not show up on the Main Menu screen.

·                    Void – Rental was entered in error.  Rental will not show on Main Menu.
